Rental terms and conditions
These are the general rental terms and conditions of Kovia Rent a Car, version v1.0 — 18.10.2026. The same text is signed at every vehicle handover.
1. Purpose
These terms govern every rental agreed with Kovia Rent a Car L.L.C. (NUI 812261981), whatever the booking channel. They form a single whole with the signed rental contract and the condition report. In the event of conflict, the contract prevails.
2. Definitions
The customer books and pays. The driver is the person named in the contract whose licence has been checked. The rental period runs from handover of the vehicle to its actual return into Kovia's hands. One day equals 24 hours from the time of handover. Customer and driver are jointly and severally liable.
3. Drivers
Every driver is at least 18 years old and holds a valid category B licence. A licence issued outside Kosovo is accepted if it is in Latin script; otherwise an international driving permit must accompany it.
4. Documents
At handover, every driver presents their licence and their identity card or passport, in original. Photocopies, photographs and digital documents are not accepted. Kovia photographs these documents and keeps copies for the duration of the rental and for as long as needed to recover sums due and to meet its legal obligations.
5. Additional drivers
Only persons named in the contract may drive. Registration is free and requires the documents to be presented. Handing the vehicle to a third party not named in the contract is a serious breach within the meaning of article 15.
6. Refusal
Kovia may refuse handover, without compensation, if articles 3 and 4 are not met, if the documents appear falsified, if the driver appears to be under the influence of alcohol or drugs, or following a breach during a previous rental. Sums already paid are retained.
7. Booking
A booking binds Kovia only once Kovia has confirmed it in writing, by email or message. The model shown is indicative; Kovia supplies that model or a similar vehicle of equivalent category. If, for reasons beyond its control — damage to the vehicle, severe weather, border closure, requisition — Kovia cannot supply any vehicle, it refunds the sums paid with no further compensation.
8. Acceptance
The driver signs this page at every handover. By signing, the driver confirms having read and accepted these terms, and being the person who will drive the vehicle.
9. Price
The agreed price covers provision of the vehicle, unlimited mileage and compulsory third-party liability insurance. Snow chains in winter and a child seat on request are provided at no extra charge; their fitting, adjustment and correct use are the customer's responsibility, and their loss or damage is charged at the rates below. Not included: fuel, tolls, parking, fines, exceptional cleaning and any service invoiced separately.
10. Payment
Payment is made as agreed at booking. Any sum due and unpaid at return is immediately payable. The customer expressly authorises Kovia to charge the card used for payment for sums established after return: missing fuel, fines notified later, damage recorded at the return inspection, and the fixed charges.
11. Condition report
The vehicle is inspected jointly at handover and at return, in the customer's presence, with photographs. The departure report establishes the condition of the vehicle at handover; no claim regarding pre-existing damage is accepted after departure. The return report, signed by both parties, records the damage occurring during the rental.
12. Fuel
The vehicle is supplied and must be returned with the same fuel level (like for like). Otherwise, the missing fuel is charged at the pump price in force, plus the service charge shown below. Misfuelling is entirely at the customer's expense.
13. Return and late return
The vehicle is returned at the agreed place, date and time, into the hands of a Kovia representative. Any unauthorised delay is charged as one additional day per started 24-hour period, with a 59-minute tolerance. A vehicle left without being handed over in person remains the customer's responsibility.
A vehicle not returned on the agreed date and without Kovia's written agreement is deemed misappropriated; Kovia files a criminal complaint and takes all available legal action.
14. Extension
Any extension must be requested and accepted by Kovia before the scheduled return time. Without agreement, the vehicle is deemed unreturned and Kovia may demand its immediate return.
15. Prohibited use
It is forbidden to: drive under the influence of alcohol, drugs or medication affecting alertness; smoke in the vehicle; carry an animal in it without Kovia's prior written agreement; hand the vehicle to a person not named in the contract; sublet it or carry passengers or goods for payment; tow or push another vehicle; take part in a competition, test or driving lesson; drive off roads open to public traffic; overload the vehicle; carry dangerous, flammable or illegal substances; commit a customs offence; leave the territory without complying with article 18.
16. Consequences of prohibited use
Any breach of article 15 removes all insurance cover from the customer, places the full extent of Kovia's damage and loss at the customer's charge, and entitles Kovia to recover the vehicle immediately at the customer's expense, with no refund.
17. Maintenance and breakdown
The customer regularly checks fluid levels and tyre pressure. The customer must stop immediately when a warning light comes on or an unusual noise appears, and inform Kovia. No repair may be undertaken without Kovia's prior written agreement. In the event of mechanical failure not attributable to the customer, Kovia undertakes to have the vehicle repaired as quickly as possible or to supply a replacement vehicle of similar category. Damage resulting from the customer's negligence remains at the customer's charge, as do towing and roadside assistance costs: misfuelling, flat battery, damaged tyre, becoming stuck off-road.
18. Driving abroad
The vehicles are insured to be driven in Kosovo, Albania, North Macedonia and Montenegro. The corresponding insurance certificate is in the vehicle: the customer checks it is there before departure and presents it at every border crossing.
Driving in the European Union or in any other country not listed here is strictly forbidden. Breach of this clause removes all cover from the vehicle and article 16 applies.
19. Accident, theft, damage and insurance
The vehicle carries only compulsory third-party liability insurance. No comprehensive (casco) cover is included. In the event of an at-fault accident or damage with no identified third party, the customer bears 100 % of the repair costs as quoted by the garage. This includes in particular tyres, wheels, windows and windscreen, mirrors, sills, underbody and roof. Loss of or damage to the keys, number plates or vehicle documents is charged at the rates below. The customer additionally owes an immobilisation indemnity at the rate below, limited to the repair time stated by the garage and to 15 days at most. In the event of theft, the customer owes the market value of the vehicle (list value allowing for year and mileage). In the event of an incident, the customer must call the police and obtain an official report, inform Kovia immediately, record the identity of the other parties, and admit no liability. In the event of theft, the keys and documents are handed to Kovia. Without a police report, the damage remains entirely at the customer's charge.
20. Fines and offences
Fines, penalties, impound fees and sanctions connected with use of the vehicle during the rental period are the customer's sole responsibility, and the customer undertakes to settle them directly with the competent authorities, even where notification arrives after the vehicle has been returned. Failing payment by the customer, Kovia pays the amount and re-invoices it, plus the handling charge shown below.
21. Cancellation and termination
Cancellation is free up to 24 hours before the collection time. After that, or in the event of a no-show, the first rental day is payable. Kovia may terminate the rental at any time and take back the vehicle, at the customer's expense and without refund, in the event of a breach of articles 15, 18 or 19, or where the safety of the vehicle or of persons requires it.
22. Vehicle tracking
For security, fleet management and theft prevention, the vehicles are fitted with a tracking device. Position data is consulted only in the event of theft, failure to return, or unauthorised departure from the territory. It is not used to monitor driving. The customer is informed of this and expressly consents by signing.
23. Personal data and disputes
Kovia processes the customer's data solely for the performance of the contract, the recovery of sums due and compliance with its legal obligations. Any complaint is to be addressed to Kovia in writing. These terms are governed by the law of Kosovo; the competent courts of Prishtinë have sole jurisdiction. In the event of divergence between language versions, the Albanian version prevails.
